Be objective and stick to the facts

Always try to keep an objective, impartial attitude, and be fair towards the employee. Prepare specific proof and arguments that support your main point.

Describe the problem in a clear and comprehensible way

When you get to the core of the problem itself, do not beat around the bush and do not use any euphemisms. Remain calm and describe what the problem is using clear and simple language.

Let the employee respond and listen to them

Remember to allow some space also to the given employee. Listen to what they have to say about the matter, and genuinely and honestly reflect on their response.

Define the subsequent plan

At the end of the meeting, agree with the employee on what will happen next. Set up mutual expectations and define the next steps and also the timeline of what needs to be done on both sides.
