Struggling sometimes to express your thoughts clearly? What you can do about it

Communication constitutes a large part of any manager’s job. Without strong communication skills and the ability to present concepts and ideas in an engaging way, effective leadership is simply not possible. That’s why it can be problematic if, as a manager, you are occasionally unable to articulate a certain thought quickly and precisely. Or if you find you say something to your team, only to realise later it could have been expressed much better. Don't worry: this happens even to the best of us. This article offers some practical advice on expressing thoughts more effectively and becoming a true master of communication.

Practise and prepare speeches in advance

One extremely effective technique is to rehearse your message in advance. If, for example, you are preparing for a one-on-one with a subordinate or a team meeting and already know the topic you would like to address, you probably have a good idea of what you want to say. Take some time in a quiet place to repeat the message out loud several times and experiment with how to articulate your point. That way, you will enter the discussion well prepared.

Write down key points you want to emphasise beforehand

People often struggle to articulate their thoughts clearly because their speech lacks structure. You can prevent this by writing down the key points you want to highlight in the conversation. You don't even need to bring your notes with you: simply having them committed to memory will help you significantly when structuring your speech.

Remember that your message should have a beginning, middle and end

This tip also concerns the structure of your message. A well-articulated thought should begin with a premise. For example: "Let’s summarise where we currently stand." Then follows the core of your message, namely your reasoning or a set of proposed solutions: "We have three options for how to proceed. First ..." And always ensure your message has a clear and understandable conclusion: "I consider the third option the most feasible because of XY. Any comments?"

Stop doubting yourself and speak with confidence

Perhaps you are struggling to express your thoughts effectively because you don't believe in yourself or the legitimacy of your own views. What can be done? You need to overcome your impostor syndrome and speak with greater confidence. The more assertively and confidently you present your thoughts, the more positively they will be received, and the better communicator you will become.
